Welcome to The Credentialist. These Terms of Service (“Terms”) govern your use of our website at thecredentialist.org and the credentialing and payer enrollment services we provide. The Credentialist provides medical credentialing and payer enrollment services for healthcare providers, group practices, and medical organizations. Our services include, but are not limited to:

  • Provider credentialing and re-credentialing with insurance payers
  • Payer enrollment and network participation applications
  • CAQH profile management and maintenance
  • Multi-state and telehealth enrollment assistance
  • Credentialing status tracking and follow-up

The scope of services for each client is defined in an individual service agreement.

2. Eligibility

Our services are available to licensed healthcare providers, practice managers, and authorized representatives of healthcare organizations. You must be at least 18 years of age to use our website or engage our services. By submitting information through our website, you represent that you are authorized to do so on behalf of yourself or the organization you represent.

3. User Responsibilities

When using our services, you agree to:

  • Provide accurate, complete, and current information for all credentialing applications
  • Respond to our requests for documentation or clarification in a timely manner
  • Maintain current professional licenses, certifications, and malpractice insurance as required
  • Notify us promptly of any changes to your credentials, practice information, or contact details
  • Not misrepresent your qualifications, licensure status, or disciplinary history

Delays in providing required information may result in extended credentialing timelines.

4. Service Process and Timelines

Credentialing and enrollment timelines vary by payer, state, and specialty. While we work diligently to expedite the process, The Credentialist does not guarantee specific approval dates or enrollment timelines. Payer decisions regarding network participation, panel status, and credentialing approvals are made solely by the payers and are outside our control.

We will keep you informed of your application status and any issues that arise during the process.

5. Payment Terms

Payment terms, fees, and billing schedules are outlined in your individual service agreement. If you have questions about pricing, please contact us for details. All fees are due as specified in your agreement unless otherwise arranged in writing.

6. Intellectual Property

All content on this website—including text, graphics, logos, images, and software—is the property of The Credentialist and is protected by applicable intellectual property laws. You may not reproduce, distribute, modify, or create derivative works from any content on this website without our prior written consent.

Our proprietary processes, workflows, and technology platform remain the exclusive property of The Credentialist.

7. HIPAA Compliance

The Credentialist is committed to protecting the privacy and security of health information. When our services involve the handling of Protected Health Information (PHI), we comply with the Health Insurance Portability and Accountability Act (HIPAA) Privacy and Security Rules.

Where applicable, we will execute a Business Associate Agreement (BAA) with clients prior to accessing or processing PHI. Our team receives regular training on HIPAA compliance and information security best practices.

8. Limitation of Liability

To the fullest extent permitted by law, The Credentialist shall not be liable for:

  • Payer decisions regarding credentialing, enrollment, or network participation
  • Delays caused by payers, government agencies, or other third parties
  • Consequences arising from inaccurate or incomplete information provided by you
  • Lost revenue or business opportunities resulting from credentialing timelines
  • Interruptions to our website or services due to technical issues beyond our control

Our total liability for any claim arising from our services shall not exceed the fees paid by you to The Credentialist for the specific services giving rise to the claim.

9. Indemnification

You agree to indemnify, defend, and hold harmless The Credentialist, its owners, employees, and agents from any claims, damages, losses, or expenses (including reasonable attorney fees) arising out of or related to your breach of these Terms, your misrepresentation of credentials or information, or your violation of any applicable law or regulation.

10. Dispute Resolution

In the event of a dispute arising from these Terms or our services, the parties agree to first attempt resolution through good-faith negotiation. If a resolution cannot be reached within thirty (30) days, the dispute shall be submitted to binding arbitration in accordance with the rules of the American Arbitration Association.

These Terms shall be governed by and construed in accordance with the laws of the state in which The Credentialist maintains its principal place of business, without regard to conflict of law principles.

11. Termination

Either party may terminate the service relationship with written notice as specified in the individual service agreement. Upon termination:

  • Any outstanding fees for services already rendered remain due and payable
  • We will provide you with copies of any pending applications or documentation upon request
  • Confidentiality obligations survive termination

We reserve the right to suspend or terminate access to our website for any user who violates these Terms.

12. Modifications to These Terms

The Credentialist reserves the right to update or modify these Terms at any time. Changes will be effective when posted on this page with an updated “Last Updated” date. Your continued use of our website or services following any changes constitutes acceptance of the revised Terms.
